1. Scope

This policy covers calibratedcraft.com, orders placed with us (on our website, in person, or through our Etsy shop), our email newsletter, and our internal tool "CalibratedCraft Listing Sync" (the "Tool") that syncs our Etsy shop listings and orders with our Odoo business system. The Tool is operated only by us, is not distributed, and is not used to process data on behalf of any third party.

2. Information We Collect

  • When you order from us: name, email, phone, shipping and billing address, order details, and any personalization text or files you provide. Card payments are processed by Stripe; we never see or store your full card number.
  • When you order through Etsy: the order details Etsy provides to sellers (name, shipping address, email address, order items, and payment status), used only to make and ship your order and kept per Etsy seller record-keeping requirements.
  • When you subscribe to our emails: your email address and subscription preferences (managed in MailerLite).
  • When you browse calibratedcraft.com:
    • Essential cookies for your cart, login, language, and your cookie choice.
    • Google Analytics measures pages viewed, how you arrived (for example from Instagram or Google), approximate location (city/region), device and browser type, and actions such as adding items to your cart. Google Analytics does not store full IP addresses. It is on for all visitors unless you choose "Only essentials" in our cookie banner.
    • Advertising and demographic signals (for example Google signals and ad measurement) are used only if you click "I agree" in our cookie banner.
    • Server logs (IP address, time, page, browser) for security monitoring.
  • Our own shop data in the Tool: Etsy OAuth tokens that identify our own shop, plus our listings, prices, images, descriptions, and stock levels. Tokens are stored on our private, self-hosted server and never shared.

3. How We Use It

  • Make and ship your order, send order updates, and provide customer support.
  • Send newsletters you signed up for.
  • Understand which products, pages, and marketing channels work, and improve our website (analytics).
  • Create and update our own Etsy listings via the Etsy Open API v3, and bring our Etsy orders into our business system for fulfillment and accounting.
  • Optionally generate listing copy with AI services, using only product details we wrote ourselves. No customer personal data is sent to AI services.
  • Keep the site secure and meet legal and tax obligations.

4. Who We Share It With

  • Stripe to process payments.
  • Shippo and shipping carriers (USPS, UPS, FedEx, etc.) to create labels and deliver orders.
  • Google for website analytics (Google Analytics), and for advertising and demographic measurement only if you click "I agree".
  • MailerLite to send our email newsletter.
  • Etsy Inc. for orders placed on Etsy, as part of our seller relationship.
  • Anthropic PBC to help write listing copy from product details we wrote ourselves.
  • Twilio to deliver text messages you asked to receive (see Text Messages below).
  • Accounting and tax services, and authorities when required by law.

We do not sell, lease, or rent your personal information.

5. Your Choices

  • Cookies: choose "Only essentials" or "I agree" in our cookie banner. You can change your choice anytime by reopening the banner from the cookie button at the bottom of the page. See our Cookie Policy.
  • Google Analytics opt-out: you can also install Google's Analytics opt-out browser add-on.
  • Emails: every newsletter includes an unsubscribe link.
  • Text messages: reply STOP to any text to stop receiving them.

6. Data Retention

  • Order and tax records: as long as required by law and Etsy seller requirements (typically 7 years).
  • Newsletter data: until you unsubscribe.
  • Analytics data: according to our Google Analytics data retention settings.
  • Server logs: rotated within 30 days.
  • Etsy OAuth tokens: until revoked or refresh fails.

7. Your Rights

To access, correct, export, or delete the personal information we hold about you, email privacy@calibratedcraft.com. Please include your order number if you have one. We will respond within 30 days.

8. Security

Our business system is self-hosted and reached through an encrypted Cloudflare tunnel (TLS in transit). Access is limited to Calibrated Craft staff.

9. Text Messages (SMS)

If you give us your mobile number and ask to receive texts, we use it only to send messages about your order: invoices, quotes, order status and pickup details. Message frequency varies. Message and data rates may apply.

We do not sell or share your mobile number or text-message consent with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent are not shared with any third parties, except providers that deliver the messages for us (Twilio).

10. Children

Our shop is not directed to children under 13 and we do not knowingly collect information from them.

11. Changes

We may update this policy. The effective date at the top of this page reflects the last change.
