1. Scope

This policy applies to calibratedcraft.com and to the internal tool "CalibratedCraft Listing Sync" (the "Tool") that synchronizes our Etsy shop listings with our Odoo ERP. The Tool is operated by the shop owner, is not distributed, and is not used to process data on behalf of any third party.

2. Information We Collect

  • Shop owner credentials: OAuth2 tokens issued to us by Etsy identify our own shop. These are stored on a private server in our self-hosted Odoo database and are never shared.
  • Our own listing and inventory data: product records, prices, images, descriptions, stock levels, and order data belonging to our Etsy shop.
  • Etsy buyer information received during order ingestion: name, shipping address, email address, order line items, and payment confirmation status returned by Etsy's order API. Processed only to fulfill orders and retained per Etsy's seller record-keeping requirements.
  • Site visitor data on calibratedcraft.com: standard server logs (IP, timestamp, URL, user agent) used for security monitoring. No third-party analytics or advertising trackers.

3. What We Do With It

  • Create and update our own Etsy listings via the Etsy Open API v3.
  • Fetch our own orders from Etsy and translate them into Odoo sale orders for fulfillment and accounting.
  • Optionally generate listing copy using AI services. Inputs sent are the product metadata we ourselves authored. No Etsy buyer personal data is sent to AI services.
  • We do not sell, lease, rent, or disclose buyer personal information to third parties.

4. Data Sharing

  • Etsy Inc. as part of our seller relationship and as required to operate our Etsy shop.
  • Anthropic PBC to generate listing copy; the payload is the product metadata we ourselves authored.
  • Shipping carriers (USPS, UPS, FedEx, DHL, etc.) to deliver orders.
  • Payment and accounting services used to run our business.

We do not share data with advertising networks.

5. Data Retention

  • Etsy OAuth tokens: retained until revoked or refresh fails.
  • Order records: retained for the minimum period required by law and Etsy seller record-keeping requirements (typically 7 years).
  • Server logs: rotated within 30 days.

6. Your Rights

If you placed an order through our Etsy shop and would like to access, correct, export, or delete the personal information we hold about you, email [email protected]. We will respond within 30 days. Please include the Etsy order number.

7. Security

Data is stored on an internally hosted Odoo instance behind a Cloudflare tunnel with TLS in transit. Access is limited to the shop owner.

8. Children

Our shop and Tool are not directed to children under 13 and we do not knowingly collect information from them.

9. Changes

We may update this policy. The effective date at the top of this document will reflect the last change.
